JENI Systems Privacy Policy
Effective Date: July 31, 2025
JENI Systems (“we,” “our,” “us”) respects your privacy and protects personal information with care. This Policy explains what we collect, how we use it, who we share it with, and your choices. It covers our website (jenisystems.com), our software, and related services. By using our site or software, you agree to this Policy.
1. Scope and Summary
This Policy applies to all visitors, customers, and software users. It covers WooCommerce orders, activation keys, Stripe payment processing, and client records stored in Jetpack CRM. It also applies to device data used to bind each license to one computer. We do not sell personal information or share it for cross-context behavioral advertising.
2. Information We Collect
When you purchase or download JENI®, we collect:
Order and account details: name, email address, billing info, and purchase history (stored in WooCommerce and Jetpack CRM).
Payment status: provided by Stripe. We never see your full card number or CVV.
Support requests: including your name, email, message, and any attachments you send through our contact form or email.
3. Activation and Device Data
Each license is tied to one computer for a $34.99 lifetime-of-device license. The software generates a local activation token linked to your license record. That record may include a hashed token, a system UUID, and a hardware identifier (e.g., motherboard serial on Windows or hardware UUID on macOS). This data is used only to validate your license and prevent fraud.
4. Cookies, Site Logs, and Hosting
Our website uses cookies to ensure core functions work properly and to collect limited, anonymous analytics data. These cookies are grouped into categories:
* Essential Cookies: Required for cart, checkout, login sessions, and site security. These cannot be disabled.
* Statistics Cookies: Collect anonymous information such as page views, device type, and general location. We use Google Analytics 4 with advertising features disabled. Analytics cookies are only set after you provide consent through our cookie banner.
* Marketing Cookies: We do not use marketing or advertising cookies. This category is included for transparency only. JENI Systems does not track you across other websites or use cookies for advertising purposes.
* Hosting: Our site is hosted by SiteGround, which keeps standard access logs (IP address, browser type, timestamps) for security.
5. Analytics (Google Analytics 4)
We use Google Analytics 4 for anonymous traffic and usage metrics. GA4 collects event data such as page views, referrers, device type, and approximate location. We do not enable Google Signals or Google Ads integration. Analytics data is not linked to your WooCommerce orders or CRM records.
6. How We Use Information
We use:
Order data to process purchases and send activation keys.
Activation data to verify licenses and reduce fraud.
Support data to troubleshoot and improve JENI®.
Logs and analytics to secure our site and improve performance.
7. Legal Bases for EEA/UK Users
We process data:
To perform a contract (order fulfillment, license activation).
Under legitimate interest (security, fraud prevention).
To meet legal/tax obligations.
By consent, where required (analytics cookies, certain communications).
8. Payments and Service Providers
Stripe processes all payments securely.
Automatic plugins (WooCommerce, Jetpack CRM) store order and client details for fulfillment and support.
SiteGround securely hosts our website and databases.
Google LLC provides analytics services.
9. Software Activation and Offline Use
Initial activation requires internet access. After activation, JENI® may occasionally recheck the license. If offline, JENI® continues running and will retry license validation later. We do not collect usage telemetry—only activation checks.
10. Data Retention
Orders & licenses: kept for the lifetime of the license and as required by tax law.
Support messages: kept only as long as needed to resolve issues.
Security logs: kept temporarily for threat analysis.
When no longer needed, data is deleted or de-identified.
11. Security
We use TLS for all data in transit and encrypt sensitive activation data at rest. Access is restricted to authorized staff. WordPress, plugins, and servers are patched regularly. No method is perfect, so we encourage prompt reporting of any security concerns.
12. How We Share Information
We share personal data only with service providers under contract, solely to deliver services to you. Providers are required to protect the data and not use it for other purposes. We may share data when required by law or to protect our rights or users. We never sell your personal information.
13. Your Rights and Choices
You have the right to control your personal information and how it is used. You may request:
Access, correction, or deletion of your personal information.
A copy of your data or restriction of certain processing.
Control over analytics cookies through our consent banner and the floating settings button, which lets you revisit and change your preferences at any time.
A Google Analytics deletion request linked to your device/session, when possible..
14. California Privacy Notice
California residents may request to know, delete, or correct their personal information. We do not sell or share personal data for cross-context behavioral advertising. All processing is for business purposes such as fulfillment, support, and security. We honor authorized agent requests after verifying identity and authority.
15. International Transfers
We process data in the U.S. and where our providers operate. For EEA/UK users, we use Standard Contractual Clauses or other safeguards where required.
16. Children’s Privacy
Our services are not for children under 13 (or under 16 where local law applies). If you believe we have collected a child’s information, contact us so we can delete it promptly.
17. Do Not Track
We do not respond to “Do Not Track” signals because there is no standard for them. We keep analytics limited and do not use ad tracking.
18. Changes to This Policy
We may update this Policy as our products or laws change. We will post the revised Policy with a new effective date. Material changes will be highlighted on our site. Continued use of our services means you accept the updated terms.
19. Contact Us
Use our support page to send privacy requests or questions. Include the email you used for your purchase so we can verify your request. We aim to respond promptly and within required legal timelines.
